When reception rings your room before a visitor goes up: a Schiphol hotel massage at a careful desk
In a busy terminal hotel a visitor usually walks to the lifts without anyone looking up. A few hotels around the airport do things differently: the desk asks every visitor which room she is going to, telephones the guest, and only then points her to the lifts. It is courteous rather than suspicious, and it is easy to work with once you know it happens.
How the call goes
She arrives, gives the desk your room number, and waits while the receptionist rings it. You pick up, say that you are expecting a visitor, and she is sent up. That is all. Nobody asks what the visit is for, and you need not explain it. Nothing is said to the desk on your behalf before she arrives; the call is the hotel's own routine and it ends there.
Keep the room phone working
The catch is the do-not-disturb setting. On many hotel systems, turning it on also blocks calls to the room telephone, so the desk rings and gets nothing, and she waits in the lobby. Until she is upstairs, use the card on the door handle or the light by the door rather than the setting that silences the phone, or switch the phone setting on only after she arrives. The glossary entry on do not disturb covers the sign itself.
Or meet her downstairs
If you would rather not wait for a call, go down and meet her in the lobby. Many guests prefer this anyway, because it makes the walk to the room easy and leaves no doubt about which lift to take. Ask her to message when she is a short way off, and be by the lifts as she comes in. Mention in the thread which you intend to do, so she knows whether to go to the desk or look for you.
Visitors at night, and overnight bookings
Some hotels have house rules on visitors late in the evening, and some ask that anyone staying the whole night be added to the room. If you are booking the eight hour overnight, read your hotel's terms on overnight guests before you book; the house does not speak to hotels on a guest's behalf, so it is yours to check. For a session of an hour or two, a visitor rule rarely arises.
Write it in the first message
If you know the desk calls up, say so in your opening message, along with the room number and whether the lifts need a key card. Her route from the door to your room is then settled before she leaves. As at every hotel near the airport, the booking is confirmed with half the fee once the start and her journey are agreed.
